The Best Email Hosting for Multiple Websites: A Solopreneur's Guide
Compare email hosting for several websites: pricing, domain limits, SPF, DKIM, DMARC, and one-inbox options for a solo operator.
The short answer: your websites can share an email host
You can host email for several websites with one multi-domain email provider, even when the websites use different web hosts. Choose Folio for one operator managing several brands, Fastmail for an email-and-calendar workflow, Google Workspace when you need Google's collaboration suite, or Migadu for account-priced hosting with shared usage limits. Five domains do not automatically require five paid users.

Website hosting and email hosting are separate decisions
Your web host serves the website; your email host receives and sends domain email. DNS connects the domain to those services. You can keep a shop, a consultancy site and a portfolio on their current platforms while choosing one provider for their mail.
Changing email records does not require moving website files or transferring the domain registration. Preserve the records your website needs. If a setup wizard proposes changing nameservers, review the complete DNS zone first: a nameserver change affects more than email. Cloudflare's email-record documentation explains the roles of MX, SPF, DKIM and DMARC.
Email included with web hosting is not automatically unsuitable. Check sending limits, backups, export options, support and the actual inbox experience. Likewise, a specialist email host does not guarantee that every message lands in an inbox.

Worked example: five websites, one owner, ten addresses
Suppose you own five sites and want hello@ and billing@ at each domain. That is ten addresses, but not necessarily ten people, ten logins or ten billable mailboxes. If only you need access, aliases can deliver those addresses to one mailbox. Independent users or client-owned accounts are a different requirement.
On Folio, five domains fit Studio at $15/month, including 6,000 sends per month. Solo is $3.50/month with 3 domains and 1,000 sends; Holding Co. is $39/month with unlimited domains and 30,000 sends. These are monthly-billing prices; annual billing has different totals. Domain registration is separate. Pick a tier for both domain count and sending volume.
For very light traffic, Migadu Micro lists $19 per year, 5 GB storage, 20 outgoing messages per day and 200 incoming per day across the account. It is not monthly billing and its domain fair-use policy still applies. A daily quota and a monthly allowance are not interchangeable: check your busiest day as well as your average month.
If you already pay for Workspace, adding alias domains may cover the address requirement without more user licenses. Compare that arrangement before assuming a migration saves money. Move email without disrupting your websites
- Inventory first. Record existing mailboxes, aliases, forwarding rules, website forms and other legitimate senders. Export the current DNS records and confirm how to retain or migrate message history.
- Prepare the destination. Add and verify each domain, create its receiving addresses, and configure the sending identities before changing MX. Use the exact records supplied by the provider; do not copy another domain's MX hostname or DKIM selector from a generic article.
- Configure authentication. Review SPF for all authorized senders and publish the provider's DKIM records. DKIM may use TXT or CNAME records depending on the provider. Plan DMARC around your existing policy and verified senders; do not blindly impose quarantine before checking legitimate mail.
- Switch incoming routing. Once the destination is ready, replace the old MX configuration with the new provider's specified records. Leave website DNS records intact. Keep access to the old service during the transition rather than cancelling it at the first DNS edit.
- Test each brand. Check incoming mail, a reply, a new outgoing message, the From address, signature and authentication results. Test website forms separately. Allow for DNS caching and confirm migration and routing before retiring the old service.

When one inbox is not enough
If coworkers need assignment, separate access controls or shared queue ownership, evaluate a team product. If you manage websites for clients, decide who owns each mail account and how a client can leave before consolidating access. Folio is for one operator's correspondence; it is not a substitute for a team help desk, bulk sender or separate organizational controls.
Before committing, try a representative workflow: receive a message for one site, reply as that brand, then compose a new message for another. Confirm the selected sender rather than assuming every alias behaves identically. An extra address is useful only if receiving, replying and ownership all match your needs.

Do I need separate email hosting for every website?
No. A multi-domain email provider can handle mail for several domains while the websites remain on different web hosts. Each domain needs the provider's correct mail records, and the chosen plan must support your domains and usage.
Do five domains mean five paid email users?
No. Addresses and users are different. Alias domains can give an existing Google Workspace user addresses at additional domains without another user charge. Separate user accounts or independently controlled mailboxes may require additional licenses.
Will moving email hosting move my website?
No. Moving email does not require moving website files. Keep website DNS records intact, prepare the new mail service before switching MX, and review any proposed nameserver change separately because it affects the whole DNS zone.
Can I reply from each website's address in one inbox?
Yes, if the provider supports those sending identities and they are configured. Folio and Fastmail offer multi-domain reply workflows. Test replies and newly composed messages for every address; receiving through an alias alone does not prove that sending is configured.
